Financial Assistance
Dear Voucher Parents and Providers,
By now you may have heard that Child Care Resource Center (CCRC) has been awarded the EEC contract to provide child care resource and referral services, including voucher management, for families in the Eastern Mass Metropolitan Area, including communities South, West, and Northwest of Boston beginning on July 1, 2010 (to see a list of towns and map of the region click here).
We know that many families and providers may be wondering about what this means, so we want to share with you some information about our agency and how you can contact us.
CCRC is pleased to be taking on this new service area and will be working hard to make sure that all families have easy access to information and helpful staff near where they live and work, as well as improved communications through email and our website. Our main office is in Cambridge, very close to the MBTA red line, but we will also have a number of outpost offices around the region - in Quincy, Framingham, Norwood, and Woburn - so that families don’t have to travel far to meet with one of our staff to renew a voucher, get help with child care issues, or learn about other services and resources.
VOUCHER FAMILIES
If you are a voucher family, your file will be transferred to us from your current CCR&R on July 1, 2010. Your file will remain confidential and will only be accessed by EEC authorized entities.
If you have an income eligible voucher with an end date between June 1-July 15, 2010:
To make sure that this change does not affect your child’s care, EEC has authorized CCR&Rs to extend income eligible vouchers for 60 days (for example, if your voucher end date was July 1st, it will now be August 29th). The updated voucher with the new end date should automatically be mailed to your provider in order to obtain your signature. This extension will not apply to DTA vouchers.
Extending your voucher will give us time to complete the transfer of records and then CCRC will work with you to renew your voucher before the extension time ends. Remember that all the same rules and regulations regarding eligibility and changes of family status still apply. To make the renewal process go more smoothly, you can contact us by email to be put on our email voucher notification list. Just send an email to voucherfamilylist@ccrcinc.org with your name, the name of your child, your email address, your phone number, and the new end date on your extended voucher.
If you have an income eligible voucher with an end date after July 15, 2010:
If your income eligible voucher is due to expire after July 15, CCRC will be working with you to renew it before the end date. You will get a letter with information about how to set up an appointment or begin the renewal process by mail before your voucher expires.
To save time, you can contact us by email to be put on our email voucher notification list. Just send an email to voucherfamilylist@ccrcinc.org with your name, the name of your child, your email address, your phone number, and the end date on your voucher.
If you need a summer voucher:
If you have children who are going to be in a summer program and need a voucher for the summer, your current CCR&R agency should be issuing that voucher for you. All agencies are doing their best to make sure that clients who need summer vouchers are served.
If you have a review that is pending:
If you currently have a Review that is pending regarding the termination of subsidized care or a recoupment/repayment of funding issue, your case will continue to be handled by EEC.
VOUCHER PROVIDERS
If you are a voucher provider, you should know that the change of CCR&R’s will not affect the voucher families that you currently have in care or your ability to be paid for services.
New Voucher Agreements
CCRC will be setting up a new voucher agreement with your program so that there will not be any delay in billing and reimbursements as we complete the transition on July 1st. To save time and ensure that we can complete these agreements as soon as possible, please also contact us by email to be put on our provider notification list. Just send an email to providerlist@ccrcinc.org with your program name, the name of your director or enrollment administrator, that person’s email address and phone number. We will process the new provider agreements as quickly as we can once we receive them from you.
Summer Programs
All the CCR&Rs are doing their best to make sure that vouchers for summer programs are processed in time for the start of the summer. Until July 1st, CCRC does not have the capacity to process these vouchers. Because of the volume of requests coming at the same time that we are going through this transition, we know that families may be having trouble reaching their current CCR&R. We are working with EEC to try to resolve any problems.
Voucher Billing for May and June 2010
Please complete the billing for May 2010 child care services (due in June) with your old CCR&R. Your payments for May should be made on a timely basis. Beginning in July 2010, the billing process will remain the same, except that you will now send your billing documentation to CCRC. We will be sending you the details on this. If you send your billing documents to the wrong agency, payments may be delayed.
